SmashFly Technologies is seeking a part-time 20-25hrs a week, Office Services Assistant to provide office support to our growing team in our corporate offices in West Concord, MA. The person who fills this role will be the go-to person for all office coordination responsibilities.

What You'll Do:

  • Coordinating weekly catering for an 80+ employee office. Scheduling catering for various team and client meetings
  • Order office supplies and snacks, while maintaining a budget and inventory
  • Replenishing snacks throughout all 3 floors of our office space (we have a lot of stairs!)
  • Ensuring all 3 kitchens and all common areas are kept clean and tidy
  • Organize internal and external company functions/parties; logistics, budget and catering.
  • Interfacing with building and maintenance management for repairs when needed
  • Assist HR team in maintaining company Org Charts and coordinating interview schedules for incoming candidates
  • Maintain friendly demeanor and communications with all employees, vendors, suppliers and outside guests
  •  Assisting with other office/facility projects as they come up

What you have:

  • A multitasker mindset with the ability to anticipate, prioritize and multi-task in a service oriented environment; superior time management skills required
  • Excellent interpersonal, verbal and written communication skills
  • Ability to lift up to 30lb
  • Ability to go up and down the stairs between our 3 floors, regularly, throughout the day
  • A desire to work productively and independently with very limited supervision
  • Strong Outlook and Word skills required. Excel skills preferred. Visio skills a plus!
